01The brief

Joi Gaming was paying for external tools, or doing the work by hand, across marketing, design, content and compliance. I proposed building our own platform instead: one login, one place, and a new tool for each department as the need came up.

02The work

Why build it in-house

Every department at Joi Gaming had its own repetitive job and its own external tool, or no tool at all. Media was uploaded to the CMS far too heavy. Promo pages were rebuilt by hand. Tournament banners were laid out one size at a time. Contracts lived in folders and inboxes. I proposed a different route: build our own platform, put every tool behind one login, and add a new tool whenever a team needed one. It is a software and business automation initiative I spearheaded from the first pitch to the running product, and it replaces subscriptions with software the company owns.

One platform, many teams

Access is invite-only. Every user has a role, either super admin, admin or user, and belongs to one or more teams such as Sports, Casino, Marketing, Legal, Product and CRM. A tool is only visible to the teams that need it, so the design team never sees contracts and the compliance team never sees the promo builder. Admins manage users from one table: change a role, edit teams, reset an invite link or revoke access in a click. The platform also keeps usage analytics so we can see which tools are earning their place.

Media compression

The first tool and the simplest. It is a checkpoint that sits before the CMS and stops 20 to 30MB uploads from slowing the site down. Drop the files in, get them back compressed and correctly sized, and upload with confidence.

AI promo builder

Promo pages such as bonus terms, tournaments and odds boosts used to arrive as Word documents, pasted text or screenshots, and were rebuilt by hand every time. The promo builder takes that raw content and sorts it into a library of house-style components. The main design decision is that the AI is not allowed to write. It only chooses the structure. Regulated wording stays word for word, and a coverage check flags anything that was not used so nothing can quietly disappear. The result opens in a single-canvas editor with in-place text editing, brand colours, undo and redo, and a manual mode with no AI at all. Admins can build page templates from ordered slots, pages are shared with the team by default, and the output is a clean, self-contained page ready for the CMS.

Tournament design generator

Tournament banners were a constant drain on the design team, and the same layout had to be recreated in every size. Now the designer enters three assets: the background image, the game assets and the provider logo. The generator produces all eight formats and sizes automatically, consistent every single time, with no manual layout. The set can then be compressed and exported in one click and uploaded straight into the CMS.

Contract management

The largest tool on the platform is a proper contract management system for the compliance team. Contracts are organised by project. The team sets up its counterparties, contract types and the stages a contract moves through, from intake to due diligence to legal review and on to signature. It holds all our company entities and our agreement templates, so a standard agreement can be generated on the fly. Custom reminders can be set on any contract and arrive as in-app notifications and as emails.

Other teams take part too. Admins from any department can send a document in for legal to review. The high-level details are extracted automatically with AI and presented for the user to check and accept, so nothing is keyed in twice. Anyone with access can open the document, highlight a passage and tag a colleague in a comment, and that colleague can reply and resolve it. When an amended version is uploaded as an amendment, the AI compares it with the previous version and gives a summary of exactly what has changed.

AI where it earns its place

AI is used only where it removes real work: structuring promo copy, extracting contract details and comparing amendments. Everywhere else the platform is deliberate, deterministic software. The tournament generator, for example, uses no AI at all, which is exactly why every banner comes out identical to the last.

Designed and built end to end

I designed and built the whole platform: the pitch to build in-house, the information architecture, the interface for every tool, the role and team model, and the code. React on the front end, Node behind it, one login for everything, and a foundation that lets the next tool be added without starting again. It lives at tools.joigaming.eu and is used across the company every day.

03The result

Four tools live on tools.joigaming.eu: a media compressor, the AI promo builder, a tournament design generator and a full contract management system. Each team sees only what it needs, the repetitive work is automated, and the company owns the software instead of renting it.
